Configure Mailing List - Add Subscription Form, Mail Groups, Mailers

First you will want to configure your Mailing List Form, i.e. the Subscribe Form, where your web visitors can subscribe.  Go to the Configure Site > Basic Setup tab, scroll down to the "Mailing List Form Fields" Section.

Fill in optional extra fields for the user to enter in order to subscribe, besides the email field.  You can choose whether they are Required Fields, and also customize the size of the input field.  You can populate user inputted fields in the mailing list form into your mailers automatically, when sending out mass emails (jump to the "Customizing a Mass Email to each individual subscriber automatically & easily!" section for more info).

Here you should also input in a label for the Mail Groups menu if you want to allow subscribers to choose a mail group.

 

To create Mail Groups, go to the Mailing List > Mail Groups tab.  This takes you to the list of cuurent Mail Groups, where you can also click on the edit icon on each Mail Group row to edit it.  Click on the "Add Mail Group" tab on the right - fill out the form and then click the "Add Mail Group" button.

Inserting the Mailing List Subscription Form into your page(s):  You can insert your mailing list form into any page you create at anytime - any updates you make to it will automatically be updated for each instance.  Insert your Mailing List Subscription Form from the bottom of any Add / Edit Page in your Admin Panel - set the "Include Mailing List Form On Page" option to Yes, then click on the Placehold Text box to copy the Placeholder Text to your clipboard; finally, click on the editor box for your page where you want it, and paste it.  Your mailing list form will display there.

Composing Mailers / Sending Mail To Subscribers

Go to the Mailing List > Compose Mailer tab to write your email to your subscribers, choose who to send it to, optionally add file attachments, and then choose to Send, Save & Send, or just Save as a draft to work on it later.  You can get to your Saved Mailers from the Mailing List > Saved Mailers tab.  Click on the Edit icon for the mailer you want to update/send again.

Your Mailer will be sent from your Admin Panel email address, with the Display Name you choose in your Compose Mailer form.  Also choose a unique Subject for your mailer!

Creating HTML mailers with Images: You can easily create HTML mailers with images embedded throughout your email - no programming experience required.  Just use the text editor box and the Insert/Edit Image button for inserting images, like you can on the Add/Edit Pages.  You can also format your mailer by creating Tables using the Table button on the editor.  More advanced programmers may choose to code the mailer formatting using Divs instead.

Customizing A Mass Email To Each Individual Subscriber Automatically & Easily!

Scrolling down on the Compose Mailer page, you will find the KEY you can use to populate your mailing list fields into your mailer.  In the example on the right, the first two fields are connected to the Name and Email mailing list form fields, respectively.  The other fields are not set in the mailing list form and so are not set here.

Just follow the instructions printed under the KEY:
Type in the field KEY in your message and it will be replaced with each subscriber's value for that field before the email is sent to them. For example, to personalize each email message, if your first mailing list field is set to 'Name', in your email message type "Dear $field1,"

Options: Mailer Attachments, Email Priority, Avoiding Server Overload

Adding attachments to your mailer: You can add up to 2 attachments to your mailer (scroll down on the Compose Mailer page for uploading the file(s) by clicking on the "Browse" buttons to locate the file on your computer).  For adding more files, simply zip your files and the upload as a single or two attachment(s).  Please note due to mailing application attachment/download limits, generally it is recommended that your total attachment file size does not exceed 10mb, to make sure the mailers go through.  After you Save a Mailer, and then go back to Edit or resend it, your file attachments, if any uploaded, will be saved for you as well, so you won't have to reupload them.  You can also choose to change the file attachments, and reupload new files to replace the current attachments, or remove the file attachments from the mailer.

Compose/Send Mailer Options

Setting Priority on Mailers: As you can tell from the screenshot above, on the bottom right of the Compose Mailer page you can set the Priority on your mailer - you can choose High, Normal, or Low.

Request Read Receipt: You can request a read receipt to your mailer by checkmarking the "Request Read Receipt" box on the bottom left of the Compose Mailer page.  If the recipient of the mailer approves confirming receipt of your mail, you will receive email notification that the email recipient received and read your mail.

How to avoid Server Overload: To avoid server overload when sending lots of mailers at once, on the bottom of the Compose Mailer page you can set how many seconds to pause between batches, and how many emails are in a batch.  The default is 30 seconds and 50 emails, respectively.

Import Subscribers into Database / Mailing List App

 Got hundreds or thousands of subscribers to input into your mailing list database?  Don't worry, you don't have to input them manually one by one!  Just use the Mailing List App Import Subscribers tool, under the Mailing List > Import Subscribers tab!

You can use the Mailing List Import Subscribers tool to upload a CSV file contaning subscriber email and other info for import into the Mailing List.

To create a CSV file using Excel: First Column should be Emails, up to 4 other fields may be in other 4 columns, one field per column. Field Order after Email should be in the order you specify on the Configure Site page, Mailing List Form Fields section - i.e. the second column should be the first mailing list form field, the third column should be the third mailing list form field, etc. One row per subscriber. Then do File "Save As" CSV file. Choose separate each field with a comma, and each row with a "\n" (without the quotes).

To create a CSV file directly: You can create a CSV file using Notepad, choose Save Type as All, and when you enter the filename add ".csv" to the end. Creating the file: One row per subscriber. First field should be subscriber email, separate each subsequent field with a comma - should be same number of commas for each line - i.e. if a field is empty for a subscriber, you should still leave space for it. Field Order after Email should be in the order you specify on the Configure Site page, Mailing List Form Fiends section - i.e. the second field (input after first comma) should be the first mailing list form field, the third field (input after second comma) should be the third mailing list form field, etc. End each line except for the last with a "\n" (without the quotes).

Example of a CSV file subscriber row with 5 fields, and the third field empty:
subscriber@email.com,name,,club,school\n

Import Subscribers Form, Ultimate Web Builder software

In the Import Subsribers form, you can choose which Mail Group(s) to add the subscribers to - or choose None, to not add to any Mail Group.  Click on the Browse button to upload your CSV file from your computer.  Next, you should choose the Number of Fields each line of your CSV file contains - i.e. how many subscriber form fields you are using and importing into the database.  Then, specify the Field Separator you are using - i.e. a comma to separate between the fields.  And then specify the line separator character you are using, i.e. "\n" (without the quotes).  Click on the Import Subscribers button at the bottom of the form and relax while the software does the work.  At completion, it will tell you how many subscribers were imported into your mailing list database.
